Invite your team

An invitation is a single-use link. Who can send one, and what to do when it does not arrive.

How an invitation goes

  1. Enter the email address

    An invitation is made against an address, not a name. Only one link is ever live for one address at a time.

  2. Send the link

    If email delivery is not configured on your installation, the link is copyable and does exactly the same job.

  3. They set their own password

    The inviter never learns it. If that address already has an account, it gains a second membership rather than a second account.

Four rules that explain the link's behaviour

The link works once. Opening it a second time answers "already used" — never a second seat.

The link expires and can be revoked. Both terminal states answer the same way; but an unknown token answers "not found", because guessing a link must never be confirmed.

Re-inviting the same address kills the previous link. So if you are unsure which link you sent, invite again and the newest one is the valid one.

An invitation takes a seat. If your plan's seat limit is full, the next invitation is refused.

Inviting is a workspace admin's job

Sending, revoking and resending invitations is part of the settings surface, and a plain member does not see it at all.

The invitation list never carries the token itself; the raw value is returned exactly once, at the moment it is issued.

Common questions

  • Does an invited colleague appear in the contacts directory straight away?
    Yes. They join the workspace's directory in the same request that seats them. If they were already listed as a contact, that record is adopted rather than duplicated.
  • Can a disabled account be re-invited?
    No. Being disabled is not routed around by an invitation; the account has to be re-enabled first.
  • Does lowering the seat limit remove anyone?
    No. The limit applies to the next invitation only. Existing members stay where they are.
