Everyone knows it should be written down. Nobody writes it — not from laziness, but because writing it is extra work: open another system, find the right field, and turn something that is obvious in your head right now into text that will mean something to a stranger later.

So the knowledge stays where it is cheapest to keep: one person's head, or a WhatsApp thread with two members.

Three differences that change the behaviour

  • Talking is easier than typing

    After the meeting, in the car, thirty seconds. It transcribes into the record. The smallest thing a real person will actually do.

  • The note becomes the task

    No separate reminder to set — the note itself becomes work with an owner and a scope. Writing it pays off immediately.

  • On the person, not just the company

    In B2B sales several people decide. Each has their own feed, with the role and the company they sit in.

Two fair questions

  • My team will never fill this in.
    If filling in means a form, you are right and we agree. The way in here is not a form: one spoken or typed sentence is enough, and that sentence becomes the task and the history by itself.
  • How is this different from our WhatsApp group?
    WhatsApp is organised by time and attaches to nothing. Finding one message six months later is hopeless, and a new joiner has no route into it at all. Here the same sentence sits under the client's name and stays there.
